A home-visit physio in Madurai, a four-therapist sports clinic in Bengaluru and a three-branch rehab chain in Hyderabad need different things. What they share is a set of jobs the software must do well, and a short list of mistakes that cost clinics months of re-entry and lost patients. This guide gives you the criteria, an honest shortlist with prices in rupees, and a checklist for the trial month.
What physio clinic software has to do in India
Physio clinic software is practice management software built for physiotherapy, rehab and sports-injury clinics. At a minimum it runs appointments, patient records and billing. A good one also covers the clinical and follow-up work that decides whether patients actually recover and come back. For an Indian clinic in 2026, that means eight things:
- A calendar by therapist, room and equipment, with home visits and tele-rehab as appointment types, and reminders on WhatsApp rather than email.
- Session packs and memberships with a balance visible on every appointment, expiry reminders and, ideally, renewal by UPI AutoPay.

Two patterns stand out. Indian tools are cheap and handle the front desk but stop at the bill. International tools are clinically deep but cannot issue a GST invoice or take UPI, so clinics that pick one usually end up paying for an Indian billing tool as well. How to choose, by type of practice
Solo and home-visit physiotherapists
You need something that runs well on a phone, records notes and range of motion at the bedside, collects UPI on the spot and keeps patients doing their exercises on the days you are not there. Price matters, but so does time: if you write notes and send WhatsApp follow-ups at night, the cheapest tool is the one that gives you the evening back.
Clinics with two to eight therapists
Your bottleneck is usually the front desk: four calendars, a packs register in Excel and nobody sure whose pack has expired. Look for therapist columns, pack balances on the schedule, free reception logins and commission rules. Flat pricing for the clinic tends to beat per-practitioner pricing from the third therapist.
Multi-branch chains

Sports and neuro-rehab centres
Outcome scores and progress reports matter most. A surgeon or neurologist who receives a one-page letter with numbers at week 6 tends to refer again. Check whether the software drafts that letter for you or leaves it to Word.
Red flags during evaluation
- No public price. If a vendor will not tell you the monthly cost before a sales call, expect add-ons.
- A per-login fee for reception staff. Only therapists with their own calendar should count.
- Marked-up messaging. Meta's WhatsApp utility rate in India is roughly ₹0.13 per message. A vendor charging several times that is making margin on your reminders.
- Data import as a paid extra. Moving your patients, packs and open invoices should be part of the trial.
- No full export. You should be able to download every patient, note and invoice as CSV at any time.
- Data hosted outside India without a clear answer on DPDP consent and deletion.
- "AI" claims without a demo on your own data. Ask to see the feature work on a real patient record during the trial.
A 30-day trial checklist
- Week 1: import real data (patients, open packs, last month's invoices). Set up therapists, rooms and pack types. Issue a real invoice with an exempt session and a taxable brace and show it to your CA.
- Week 2: run one therapist's full day in the software, including SOAP notes and an assessment. Time how long notes take compared with paper.
- Week 3: send home exercise plans to ten patients in their own language and count how many reply. Check what the patient actually sees on their phone.
- Week 4: run the month-end reports: therapist utilisation, pack revenue, GST summary. Export everything as CSV to confirm you can leave if you need to.
At the end of the month you will know more than any comparison table can tell you. If two products pass, choose the one your reception team prefers; they use it more than anyone.
