Physio clinic software pricing in India (2026)
What Indian physio clinics pay for software in 2026: PhysioCare PMS, Practo Ray, Physitrack, Jane and Physio Clinic Software in rupees, plus the hidden costs.

Ask five clinic owners in Coimbatore what they pay for software and you will hear five numbers, from "nothing, we use Excel" to ₹6,000 a month for an exercise app that still does not print a GST bill. This guide lays out the real price bands in 2026, what each band includes, and the costs that are not on the pricing page.
The three price bands
Band 1: Indian physio PMS, ₹600–2,000 a month flat. PhysioCare PMS lists a single ₹699 per month plan with a 10-day trial. Practo Ray's clinic-management plan is ₹999 per month when paid annually, or ₹1,999 month to month. These cover appointments, billing, packs and SMS reminders. They have no exercise library, no adherence tracking and little clinical depth: SOAP notes are a free-text box, outcome measures are not scored.
Band 2: international exercise and EMR tools, ₹1,500–6,000 per practitioner a month. Physitrack is $18.99 (about ₹1,600) per practitioner per month, annual billing 10 % cheaper, for exercise prescription, telehealth and a patient app. Jane App starts at $59 (about ₹5,000) a month plus per-practitioner fees. Cliniko starts at $45 and rises with practitioner count. WebPT does not publish prices. None of them bill in rupees, issue GST invoices or take UPI, so Indian clinics end up running one of these and a Band 1 tool.
Band 3: physio-specific, India-built, with the clinical layer included: ₹999–10,000 a month. Physio Clinic Software is ₹999 per therapist per month (Solo, up to two therapists), ₹4,999 flat for a clinic of up to eight therapists, and ₹9,999 for multi-branch with tele-rehab. The exercise library, WhatsApp exercise plans with six-language check-ins, outcome measures and progress letters are in every plan.
The costs that are not on the pricing page
- SMS and WhatsApp bundles. Practo Ray sells SMS packs separately. Some tools mark up WhatsApp messages 3–5×. Ask for the per-message rate: Meta's utility rate in India is roughly ₹0.13 and a provider passing it through at cost will say so. A patient on a daily plan is about ₹4 a month at cost.
- Payment gateway fees. Practo Ray charges 1.8–2 % on payments collected through its gateway. If you take UPI directly to your clinic's UPI ID there is no fee, so check whether the software records payments made outside its own gateway.
- Setup, training and migration. "Free" tools sometimes charge ₹5,000–15,000 for data import. Ask whether import from Excel or your current system is included in the trial.
- Annual lock-in. The ₹999 Practo Ray price needs annual payment up front; the monthly price is double. Decide whether you want to commit ₹12,000 before the team has used the product.
- Per-user fees. Many tools charge for every login. Reception, admin and accounts users should be free; only therapists with their own calendar should count.
- GST on the subscription. All software subscriptions attract 18 % GST on top of the listed price, and you can claim it as input credit only if you make taxable supplies (most pure physio services are exempt; see the GST guide).

With 120 active patients on daily plans, Physio Clinic Software's WhatsApp cost is around ₹500 a month. Total: about ₹5,500 against ₹7,100 for the two-tool setup, with one patient record instead of two and adherence tied to the same chart as the bill.
How to estimate your own monthly cost
Use a simple formula: plan price + (active patients on daily plans × ₹4) + reminders (appointments per month × ₹0.13) + 18 % GST on the plan. A solo physio with 25 active patients and 300 appointments a month on the Solo plan pays ₹999 + ₹100 + ₹39, about ₹1,140 before GST. A two-branch chain with 12 therapists, 300 active patients and 3,000 appointments on Multi-branch pays ₹9,999 + ₹1,200 + ₹390, about ₹11,600 before GST. Which plan fits which clinic?
- Solo or home-visit physio: a ₹699–999 tool is enough if you only need bills. If you want patients to do their exercises between visits, Physio Clinic Software Solo at ₹999 covers both.
- Two to eight therapists at one address: flat pricing beats per-practitioner pricing from the third therapist. Physio Clinic Software Clinic is ₹4,999 flat; a per-practitioner exercise app alone would cost more for five therapists.
- Chains with two or more branches: look for shared patients and packs across branches, branch-wise invoice series and consolidated reports. That is the Multi-branch plan at ₹9,999.

Questions to ask before you pay
- Is the trial full-featured, and does it need a card?
- What exactly is a "user"? Are reception staff free?
- What is the per-message rate for WhatsApp and SMS, and is it at cost?
- Can I export every patient, note and invoice as CSV if I leave?
- Does the GST invoice handle exempt services and taxable goods on one bill?
- Is data stored in India, and is DPDP consent recorded?
- Is migration from my current tool included?
Ask for the answers in writing, ideally on the vendor's own pricing or terms page. A vendor that is confident in its pricing will publish it; one that needs a sales call to quote a monthly figure for a small clinic usually has add-ons waiting. Then compare the total yearly cost, not the headline monthly number, and include the time your team spends on manual follow-ups that the software could have handled.
