Recalls, reviews and patient campaigns Live

Recalls and Google review requests that run themselves, opt-in only

Patients who finish rehab and patients who drop off after visit three are the easiest to bring back, and discharged patients are the best people to describe your clinic on Google. Set the rules once; Physio Clinic Software sends the WhatsApp messages each morning to patients who agreed to hear from you.

In short: Physio Clinic Software sends automatic WhatsApp recalls (N days after discharge), Google review requests (N days after discharge, once per patient), reactivation messages (no visit for N days and nothing booked) and birthday wishes, plus one-off broadcasts such as a new group class. Only patients with both WhatsApp and marketing opt-in are messaged, each at most once per trigger, and every eligible patient is asked for a review, not only happy ones.

Five campaign types

Recall after discharge

"How is the knee feeling?" 30 days after discharge, with your booking link for a quick review visit.

Google review request

Seven days after discharge, once per patient, with your Google Business Profile review link.

Reactivation

Active patients with no visit for 21 days and nothing booked, before the pack expires and the plan stalls.

Birthday wishes

A short greeting on the day, for patients whose date of birth you recorded.

Broadcast

A one-off message to active, discharged or inactive patients: holiday timings, a new back-care class, a camp.

Your words

Edit every message; use {first}, {clinic}, {book_link} and {review_link} placeholders.

Consent and fair reviews

Marketing messages need the patient's agreement. Each patient record has a separate "agrees to recalls, review requests and clinic updates" switch, off by default, alongside the WhatsApp opt-in for plans and reminders. Patients who say STOP are switched off by your desk.

Review requests go to every eligible discharged patient. Asking only happy patients ("review gating") breaks Google's review policy, so the software does not filter by satisfaction score. We never write, post or edit reviews.

Frequently asked questions

Who receives recall and review messages?

Only patients who have both WhatsApp opt-in and the separate marketing opt-in switched on in their record, and who match the campaign's rule (for example discharged 30 days ago). Each patient gets a given campaign message at most once per trigger, and a review request only once ever.

What does a campaign message cost?

WhatsApp marketing templates are charged at Meta's rate, about ₹0.88 each, from your prepaid wallet at cost. The software itself is included on every plan.

Can I send review requests only to happy patients?

No. Selectively asking satisfied patients breaks Google's review policies, so requests go to every eligible discharged patient. Good care and a well-timed message are what earn reviews.

Can I write messages in Tamil or Hindi?

Yes. Write the message in any language; the same text goes to everyone in that campaign. Many clinics keep one campaign per language.

How does a patient stop the messages?

They reply STOP or tell the desk, and the receptionist switches off the marketing opt-in on their record. Plans and appointment reminders continue unless WhatsApp is switched off too.

Patients do their exercises. You see the progress.

Physio Clinic Software sends home-exercise plans on WhatsApp with a daily check-in in Tamil, Hindi, Telugu, Kannada, Malayalam or English, keeps every session pack's balance in view, and runs appointments, SOAP notes and GST billing in one place. From ₹999 per therapist a month, with a 30-day free trial, no card and free data import.
